How your monthly bookkeeping process works
If your plan includes dedicated bookkeeping, your company has an assigned bookkeeper who keeps your books up to date and closes them every month. You manage each month from the Monthly Statements page in the Bookkeeping section of your doola dashboard, where you can upload documents, check each month's status, and download your financial statements.
## Where to find it
Go to Bookkeeping > Monthly Statements in your doola dashboard. On your first visit, a short introduction explains how it works.
### Status banner
The banner at the top of the page shows your overall standing:
- Green: your business is in good standing and no months are overdue.
- Yellow: you have a month open. The banner shows your next deadline.
- Red: one or more months are overdue. The banner lists which ones.
### Needs Action
If any month needs your attention, it appears in a pinned Needs Action section above your full list of months.
### All statements
Each month shows its period, the date it was closed, its documents, and its status, so you can see whether a month is waiting for your documents, being reviewed by your bookkeeper, overdue, or closed. Use the year selector to view previous years.
## How each monthly cycle works
### 1. We open the previous month
At the start of each month, we open the previous month in your dashboard and send you an email.
### 2. Answer three quick questions
When you open the month, you'll answer three questions:
1. Did your business have any activity this month?
2. Do you close your books monthly or quarterly?
3. Does your bookkeeper already have direct access to your accounts?
Your answers decide the next step:
- No activity: no documents are needed for that month.
- You close your books quarterly: nothing is needed yet. We'll collect your documents when the quarter ends.
- Your bookkeeper already has access: you don't need to upload bank statements.
- Otherwise, you'll go to the upload screen.
### 3. Upload your documents
The upload screen has two sections:
1. Bank statements (required): upload a statement for each business bank account. You can drag and drop several files at once, in PDF or image format.
2. Other documents: upload any other relevant documents, then select a type for each file (credit card statement, sales report, payroll, invoice, receipt, or other). You must select a type for every file before you can submit.
If you sell online, include the sales reports from each platform you sell on.
When you're done, click Submit documents. We'll email you a confirmation.
### 4. Your bookkeeper reviews
Your bookkeeper reviews your documents and prepares your financial statements. If anything is missing, the month changes to Action required and you'll receive an email with your bookkeeper's notes. Upload the requested items in the same month and submit again.
### 5. Your books are closed
When your bookkeeper closes the month, open it in your dashboard to download your financial statement. The documents you submitted remain available to view and download.
## Reminders
If you haven't taken action on an open month, we'll send you a reminder by email.
